WELLNESS AND FITNESS SERVICES PRIVACY POLICY 

We have created this privacy statement in order to demonstrate our firm and continuing commitment to the privacy of personal information provided to us by those signing up and taking part in any of our wellness or fitness services. We hold the privacy of your personal information in the highest regard.

We recognise the importance of protecting your privacy and our policy is designed to assist you in understanding how we collect, use and safeguard the personal information you provide to us and to assist you in making informed decisions when signing up or taking part in our wellness and fitness services.It is important that you read this privacy notice together with any other privacy notice or fair processing notice we may provide on specific occasions when we are collecting or processing personal data about you so that you are fully aware of how and why we are using your data. This privacy notice supplements the other notices and is not intended to override them.

Information we collect about you and how we use it

Upon starting a wellness service or fitness session, basic personal information such as your name, email address, birth of date, address and emergency contact information will be collected for contact and identification reasons and to ensure we can contact someone in a medical emergency.

We ask you to complete a registration form prior to signing up to any of our wellness and fitness services.  In the form we ask you to provide any relevant medical history and injuries that might affect you taking part.  This information is used to inform the service we deliver to you and to help you stay safe. It is very important you give accurate and current information to us, and keep us up-to-date with your state of health.

If you sign up for private sessions,  then in addition to the above,   an assessment of your current fitness will be completed, and we will discuss any health issues and personal goals in more depth. Notes will be taken during private sessions. The assessment and notes are used solely for informing the service we deliver to you and to help you stay safe.

Your rights

You have rights relating to the information we hold to verify the accuracy or to ask for them to be supplemented, deleted, updated or corrected.  You have the right to request a copy of the information that we hold about you. If you would like a copy of some or all of your personal information, please email infoprioritypilates@gmail.com. Information will be provided to you within 30 days.

We want to make sure that your information is accurate and up to date. You may ask me to correct or remove information you think is inaccurate. You have a right to request the transfer of your data to another individual or company.

How long we keep your information for – data retention

Your information is kept for the time necessary to provide the service requested, however outside of this I will hold your details and session notes for a period of 7 years following the end of your practice to comply with legal obligations that are placed upon us by our insurers. In the case of a child under 13 then records will be kept 7 years after they reach the age of majority (18).  After this date, all data will be securely deleted.

Sharing of data

Your information will only be shared with other Pilates practitioners that are employed by or provide cover for Priority Pilates. It will only be shared if it is deemed that this is important for us delivering you the service you have requested or for safety reasons.  There may be times where your information needs to be shared with 3rd parties such as doctors or other therapists. Where possible we will ask you to deliver such information yourself. If this is not possible, we will explicitly ask your consent before doing so, and the data will be sent to 3rd parties securely.

Security of your data

Information will be kept securely and confidentially in line with the data retention policy as stated above.

We keep all paper based documentation in a secure, robust locked filing cabinet when not in use.

Electronically held information is kept securely on password protected computers. We also use electronic data collection and storage partners. All our partners are GDPR compliant with ISO27001 (International Standards Organisation).

Lawful basis for processing your information

We hold your personal details (such as name, email address etc.) in relation to performance of a contract (delivering a service) and your health information by gaining explicit consent.

Policy Modifications

We may change this Privacy Policy from time to time. We will post any changes here, so be sure to check back periodically. However, please be assured that if the Privacy Policy changes in the future, we will not use the personal information you have submitted to us under this Privacy Policy in a manner that is materially inconsistent with this Privacy Policy, without your prior consent.
